Importing a Custom Index File (portrait database)

Import a portrait index  (saved as a .csv or .txt format) under the Index tab.

Portrait indexes may be imported into new projects, or into a previously-saved project to overwrite the previous import.



Ensure You Are in the "Index" Tab

A - Click on the Import button

B - Click on Import Custom Index File


In the "File Open" dialog, locate your index file. Please note that by default, we display .csv and .txt files, but you can apply a filter if desired.


Select the index file and then click "Open" to begin the import process.




Workflows for Files With and Without Headers



With Header


  • If your index contains an header row  (labels indicating the available data), it will automatically import the portraits along with their associated data.



After the automatic import, we recommend performing a quick sanity check by clicking on any portrait to verify if the associated data has been properly imported.


Make any necessary corrections, then proceed to the Editor.




Without Header



  • If your index does not contains an header row the "Index Column Name" window will appear, allowing you to manually associate your data for an easy import process.



Using the Index Column Name wizard


Section 1 displays the current name of your index's columns. Click on one of the column names to see a preview of the data in that particular column in Section 2.

In the example below, the first column contain the same information in the first 10 rows - most likely a code to indicate a client name/number or a catalogue item. The third column shows file names.



Section 3 allows you to name the columns.

First, assign the mandatory fields -  FName (First Name), LName (Last Name) and FileName, as well as FolderName (if applicable - not all portrait index packages will have separate folders for the portrait images).
Check the columns one by one to locate the column containing this information, then use the dropdown option to assign the name to the column.


The column names will be updated to their new names:




Priority is not a mandatory field, but a preset available for use. Assign this name to a column containing information used to rank individuals into a hierarchy (eg. a general, CEO or principal may be ranked 1 in the database so they will appear first in the composite grid). After assigning mandatory fields, select any remaining field to assign them custom names. Type the column name into the box, then click Set New Column Name.


Complete all columns so they are properly identified.


and then complete the import process.


This will complete the import.
